FAQ’S: COVID-19 and Event Rentals

As the Province of Manitoba begins to increase the social gathering sizes, we at Pembina Valley Tent Rentals just wanted to reach out to our wonderful customers and provide you with information on how the current social distancing measures and gathering sizes may impact your tent/ event rental needs. All of the information that is written on this FAQ page comes directly from either the Province of Manitoba’s official website, as well as through direct communication with COVID-19 business specialists from the Province of Manitoba.

We appreciate your patience and understanding as we all try to navigate this era of “new normal”. We will do our best to accommodate your event rental needs, however we will always let you know if there are certain restrictions or capacity loads for the product you wish to rent from us.

As of June 21, 2020 the current acceptable gathering sizes are as follows;

Indoor venue: 50 people

Outdoor venue: 100 people

Currently it is recommended by health officials that everyone be 2m/ 6ft apart from each other to maintain proper social distancing.

A minimum of 36 square feet is needed per person to maintain proper social distancing.

Please refer to the following chart to see how many people can safely be under a tent while maintaining 2m/6ft social distancing (please keep in mind the current capacity limits for indoor and outdoor events):

Yes, you are able to rent a tent and have the walls installed. However, if a tent has the walls installed around the perimeter, it becomes known as an “indoor” venue and a maximum of 50 people are allowed to be inside as long as the tent is sizeable enough to accommodate 2m/6ft social distancing .

The current minimum tent size to accommodate 50 people and maintain social distancing is a 30’x70’ Marquee Pole Tent.

Yes, you can rent a tent for a party of 100, however walls/ windows cannot be installed on the tent. A tent with only the canopy (no windows/walls) is considered an outdoor venue, capable of hosting up to 100 people as long as the tent is sizeable enough to maintain social distancing (2m/6ft).

The current minimum tent size to accommodate 100 people and to maintain social distancing is a 30’x130’ or 40’x100′ Marquee Pole Tent.

Since none of our employees at Pembina Valley Tent Rentals will be on-site at the time of the event, it is the responsibility of the renter to monitor and enforce the social distancing as well as the social gathering sizes based on measurements currently in place in the Province of Manitoba.

While renters are able to choose any size tent they want, Pembina Valley Tent Rentals will provide the proper capacity limits for the size of tent you wish to rent that reflect the current COVID-19 social distancing/ gathering regulations currently in place in the Province of Manitoba. It is up to the renter to enforce the proper monitoring of social distancing/ gathering sizes in the tent.

Pembina Valley Tent Rentals will be continuing to sanitize our equipment (such as tables, chairs, flooring etc) after each rental using cleaning products that have been approved by Provincial Health Officials to fight the COVID-19 virus.

Although we are cleaning our products after each rental, we are asking our clients to conduct the preliminary sanitization in order to help protect our employees when they arrive for take-down/ pick-up.

We are committed to providing our clients with clean and safe equipment, however we want to ensure that our employees remain safe as well during this unprecedented time, and we ask that our customers please cooperate with us in order to ensure everyone remains safe by conducting the initial wipe-down of the rental items where it will go on for further sanitization once it arrives back at our shop.

We need at least 5 business days notice in order to book your tent as we do need to acquire an underground hydro check from Manitoba Hydro and/or Bell MTS (a free service).

You can book your Hydro Check with Manitoba Hydro by visiting their website at www.clickbeforeyoudigmb.com or by calling them at 1-800-940-3447. They do require 3 business days notice in order to book a hydro locate.

If Bell MTS is applicable please contact them as well.

Any personal hydro lines that have not been installed by either MB Hydro or Bell MTS will not be located by them. Any personal hydro/ gas/ water lines must be indicated to Pembina Valley Tent Rentals to ensure the safety of our employees.

Job Start Date: Please try to choose a date that is 4-5 days in advance of your event date. Example: If your event will be held on Saturday June 6, 2020, please choose Monday June 1, 2020 as your “Job Start Date”.
